Your first day
From creating the account to having your business ready for customers.
- 1Create your account and open the link in the email we send to confirm your address.
- 2Sign in. A short welcome tour shows you around; you can leave it at any time.
- 3Tell Salco about your business: its name, the kind of business, your country and the currency you charge in.
- 4Open My Organization → Business and add your logo (a square picture, for example 512 × 512). It appears in the menu and on your invoices.
- 5Open Connections and connect WhatsApp, and Instagram if you use it (see the next two sections).
- 6Invite your team in My Organization → Team, and give each person a role.
- 7Add what you sell in Catalog, and your working hours in the Inbox settings.
Good to know
- Do the steps in this order and your first customer message will already land in a ready inbox.
- Owners can see everything. Other roles see only the parts their role allows.
02Connect your channels
Connect WhatsApp
Salco uses the official WhatsApp Business platform from Meta. You connect your own account once.
- 1In Meta for Developers, open your app → WhatsApp → API setup. Copy the Phone number ID and the WhatsApp Business account ID.
- 2In Meta Business settings, create a system user, give it your app and your WhatsApp account, and generate an access token with the permissions whatsapp_business_messaging and whatsapp_business_management. A system-user token does not expire.
- 3Copy the App secret from App settings → Basic. If you will send templates with a picture or PDF, also copy the Meta App ID.
- 4In Salco, open Connections → WhatsApp Business and paste the values. Press Save.
- 5Salco shows a Callback URL and a Verify token. In Meta → WhatsApp → Configuration, paste both and press Verify and save.
- 6Still in Meta, subscribe to the field messages. Also subscribe to message_template_status_update and template_category_update, so template results arrive within seconds.
- 7Back in Salco press Save and check. Every line should turn green: number and token work, templates can be read, Meta sends messages to Salco, the app secret is saved.
Good to know
- Send yourself a message from another phone. It should appear in the Inbox within seconds.
- If the connection window says nothing was received, the Callback URL, the Verify token or the App secret in Meta does not match the ones in Salco.
- Free replies are possible for 24 hours after the customer's last message. After that, use an approved template.
03Connect your channels
Connect Instagram
Instagram messages arrive in the same inbox as WhatsApp.
- 1Collect the Instagram account ID, the Facebook page ID that is linked to it, a page access token that includes instagram_manage_messages, and the app secret.
- 2In Salco open Connections → Instagram and paste them. Press Save.
- 3In Meta for Developers → your app → Instagram → API setup → webhooks, paste the Callback URL and Verify token shown in Salco (the address ends in /webhooks/instagram) and subscribe to messages.
- 4Press Save and check in Salco. It also tells your Facebook page to send its messages to the app.
- 5Write to your Instagram account from another profile to test. The chat appears in the Inbox with the Instagram mark.
Good to know
- To serve real customers, and not only people who have a role on your Meta app, the app needs Advanced access to instagram_manage_messages through Meta's App Review.
- Replies are text, and only within 24 hours of the person's last message.
04Talk to customers
The Inbox
Every conversation from every channel, for the whole team, on one screen.
- 1Open Inbox. On the left are your views: My Chats, Team Chats, Reminders, Closed, Past 24 hours and Everything. A number beside a view is how many chats wait there.
- 2Click a chat to open it. The customer's card on the right shows their details, tags, where they came from and their history.
- 3Write in the box and press Send. Switch the small Reply | Note toggle to Note to write something only your team can see.
- 4Use Attach file to send a picture or PDF, and Quick replies for ready-made answers. Quick replies can include variables such as the customer's name and your agent's first name.
- 5Right-click a message on a computer, or press and hold on a phone, to Reply to it, Copy it or react with a thumbs up, thanks or a heart.
- 6Press the alarm button to set a reminder, so the chat comes back to you when you need it.
- 7When the customer is looked after, press and hold Resolve for a moment. The hold is on purpose, so nothing closes by accident.
Good to know
- A chat assigned to someone else says so at the top. Press Take over to answer it yourself.
- Messages show sent, delivered and read ticks. The date tags at the top of the chat stay in view while you scroll.
- Outside your working hours Salco can send a closing-hours message for you. Set it in the Inbox settings.
05Talk to customers
The AI Agent
An assistant that answers routine questions so replies are fast, and hands over to a person when it should.
- 1Open AI Agent from the menu and switch it on.
- 2Pick a starting point with the Basic, Medium or Strong card, then adjust the options below it to match how far you want the assistant to go.
- 3Decide when it answers: first, before anyone on the team, or only when nobody has replied after the time you set.
- 4Write what it should know about your business (prices, hours, address, rules). The more exact, the better the answers.
- 5Watch a few real chats in the Inbox. Replies from the assistant are marked as AI Agent.
Good to know
- The assistant hands the chat to a person when a conversation needs judgment. You can step in at any time.
- Keep the information short and specific. If it does not know something, it hands over instead of guessing.
06Run your team
Team, roles and branches
Who can see what, and who answers what.
- 1Open My Organization → Team and add a person with their email and a role. They receive an email to set up their account.
- 2Open My Organization → Roles to see or change what each role may do. Owner, manager and agent are ready to use.
- 3If you have several locations, open My Organization → Branches and add them. Each branch can have its own currency and time zone.
- 4On a person, choose which branches they can work in. They then see only the chats, orders, catalog items and deals of those branches.
- 5In the Inbox open the Team view (the people icon). It shows who is Online, Busy or Away, and lets a manager open any person's report.
- 6Set the status for yourself from the small status control at the top of the Inbox: go Busy when you cannot take chats.
Good to know
- New chats can be shared out automatically to whoever is online, so nobody waits.
- Departments let you group people, for example Reception and Sales, and send the right chats to the right group.
07Run your business
Customers and the pipeline
Everyone who writes becomes a customer record and a lead you can follow.
- 1Open the customers page (its name follows your business, for example Clients or Patients). Search, filter and open a person.
- 2A person's page has their details, timeline, notes, bills and documents in one place. Add a note after every call or visit.
- 3Open Pipeline to see leads as cards in stages. Drag a card to the next stage when the customer moves forward.
- 4Open Follow-Ups to see who needs a call or a message today, and add a follow-up with a date.
- 5Use tags and your own fields to describe customers the way your business does.
Good to know
- Each person's page shows where they came from, such as a message, an ad or a booking.
- You can block a person from their chat; their new messages then no longer reach the team.
08Run your business
Appointments and the booking page
One calendar for every person and place, with clashes caught for you.
- 1In Appointments → settings add your services (name, length, price) and the people who provide them.
- 2Set the working hours of each person and each branch.
- 3Create a booking: choose the customer, the service, the person and a free time. Salco refuses a time that clashes.
- 4Inside a chat, use the booking picker to book without leaving the conversation.
- 5Share your booking page link so customers can choose a time themselves.
- 6Turn on reminders in Automations so every appointment is confirmed before the day, with one tap to confirm or cancel.
- 7Use Waiting list for people who want an earlier time; when a slot frees up you can offer it to them.
Good to know
- Cancelled and rescheduled visits keep their history on the customer's page.
- The status of an appointment (confirmed, completed, no-show) feeds your reports.
09Sell
Catalog: products and services
What you sell, with prices, discounts and VAT, ready to send in a chat or use in an order.
- 1Open Catalog and press New item. Choose Product or Service.
- 2Fill in the name, the price, the description and, if you like, a picture or PDF.
- 3Set the Discount % and the VAT %. Choose whether the customer sees them. Salco shows the final price automatically.
- 4Choose where the item can be used: in the Inbox, in Orders, in the Waiting list.
- 5Services also appear in the booking form, with their length.
- 6To send an item, open a chat and choose it from the catalog button. The customer receives your description, and the chat shows exactly what was sent.
Good to know
- In a description you can write {original_price}, {discount_percent}, {vat_percent} and {total_price}. Salco fills them in with the real numbers.
- Use Hide to take an item off sale without losing it, or Delete to remove it for good. Old orders and bills keep their text.
10Sell
Orders
What was ordered, for how much, and where it is now.
- 1Open Orders and press New order.
- 2Choose the customer. Then add items from Catalogs or Services; the amount follows. You can still change the text and the amount by hand, and add a tracking number.
- 3Click an order to open its details: customer, date, what was ordered, tracking and bill.
- 4Move it forward with the Move to buttons: Preparing, Ready, Shipped, Delivered, or Cancelled.
- 5Press Make bill to create the bill for the order, with the final price (discount and VAT included).
- 6Use the scan box to scan an order number and jump straight to that order.
Good to know
- Orders can be shown for one branch or for all branches together, in your main currency.
- A chat's related orders, links and deals are listed in the panel From this chat.
11Sell
Bills, payments and invoices
A bill for every sale, an invoice PDF with your own look, and a record of what was paid.
- 1Create a bill from an order, or from a customer's page: Billing → New bill. Give it a title, an amount and, if you want, a due date.
- 2Write a Description. It is printed on the invoice under the title.
- 3Open the bill and press Invoice PDF. Press Send to customer in the Inbox's Bills section to send it in the chat.
- 4When money arrives, press Record a payment. Enter the amount and the method, write a short description (required, for example the transfer reference) and, if you can, attach a picture or PDF as proof.
- 5A bill shows Unpaid, Part paid or Paid. Part payments are allowed.
Good to know
- Every invoice is also saved in My Space, in Bills / year / month.
- A bill you void no longer counts in your totals.
12Sell
Make invoices look like yours
My Organization → Invoices controls the theme, the header and footer, and the numbering.
- 1Open My Organization → Invoices. The preview on the right changes as you type.
- 2Choose a theme: Classic, Minimal or Bold.
- 3Fill in the top of the invoice (name, address, phone) and the bottom (address, email, website and a closing line).
- 4Or upload your own header and footer pictures made by your designer (PNG or JPEG, at least 200 pixels wide). They replace the text lines; only the content inside the invoice is drawn by Salco.
- 5Set the invoice number format. {N} is the running number, {D} the number of the day, and {YYYY} {YY} {MM} {DD} the date. For example {YYYY}{MM}{DD}{D} gives 2026101001.
- 6Choose whether the bill's description is printed, then press Save.
Good to know
- Your pictures are kept in My Space, in the Business folder, which only owners and managers can see.
- A new number format applies to invoices made from then on. Each invoice keeps the number it was made with.
13Grow
Templates, automations and campaigns
Messages that go out at the right moment, and messages to many people at once.
- 1Open Automations → Templates and create a message template (name, category, text, and optional buttons or a header file). Press Send for approval.
- 2Meta reviews the template. Its status changes to Approved, Rejected (with the reason) or Paused, and Salco shows it within seconds once the template events are subscribed.
- 3In Auto messages, build a rule: choose when it fires (for example before an appointment, after a visit, or when a new lead arrives) and pick an approved template.
- 4Open Campaigns to send an approved template to a group of people. Choose the people, check the preview and send.
- 5Marketing messages go only to people who agreed to receive them. Record consent on a customer, in bulk with a confirmation, or when someone replies START.
Good to know
- Messages outside the 24-hour window need an approved template.
- Each template message uses credit, shown in Automations.
14Grow
Reports and insights
See what is working, from the first message to the payment.
- 1Open Dashboard for the day's numbers, and Analytics for leads, bookings, revenue and sources over the period you choose.
- 2Check first-reply time and answered chats by person in the Team view; a manager can open any person's report.
- 3If you have several branches, see each one on its own or all together in your main currency.
- 4Turn on the Daily report in AI Agent to receive a short summary in plain words of what went well and what needs care.
Good to know
- Exchange rates for your branches' currencies are set in My Organization → Business.
15Account
My Space and your files
Pictures and PDFs you use in templates, bills and chats, in one place.
- 1Open My Organization → My Space. Drag files in, or press choose files. PNG, JPEG and PDF, up to 5 MB each, 1 GB in all.
- 2Make folders and move files by dragging. Invoices are filed automatically in Bills / year / month.
- 3Files customers send and files your team attaches in chats go to the Inbox archive, and are deleted after the retention period of your plan.
- 4The Storage card shows what takes the space, by kind and by place, as a share of your whole 1 GB.
- 5The Business folder holds your invoice header and footer pictures. Only owners and managers can see it.
16Account
Sign-in and security
Keep the account safe and know who did what.
- 1Open your profile → Account. Turn on two-step verification and keep the recovery codes somewhere safe.
- 2Add a passkey to sign in with your fingerprint or face.
- 3Under Active sessions you can see where you are signed in and end any session. Login history lists your last sign-ins, including failed ones.
- 4Owners can read My Organization → History: a record of what each person did.
- 5Give people the lowest role that lets them do their job.
Good to know
- Customer data is encrypted, and each business is kept apart from every other.
- If you suspect a problem, end all sessions and change your password.
17Account
When something does not work
The most common questions, and what to check.
- 1No WhatsApp messages arrive: check Connections. If it says nothing was received, compare the Callback URL, the Verify token and the App secret with the ones in Meta, and make sure messages is subscribed.
- 2A template stays Pending: Meta can take a while. Subscribe to message_template_status_update, and press Save and check in Connections.
- 3A message to a customer is refused: more than 24 hours passed since their last message. Send an approved template instead.
- 4The invoice preview is blank: press Open next to it to see the PDF in a new tab, and make sure pop-ups are allowed.
- 5You cannot see a folder in My Space: the Business folder is for owners and managers only.
- 6You cannot see a branch's chats: your account is limited to other branches. Ask an owner to change it in My Organization → Team.
